About the Job
The Property Manager is responsible for the day-to-day operations of an assigned portfolio of industrial properties in the Puget Sound region. This role leads a property team, administers lease agreements, prepares property budgets and financial reports, manages CAM reconciliations and estimates, coordinates tenant improvements and capital improvement projects, and serves as the primary contact for tenants. The Property Manager ensures that each property operates efficiently and in accordance with company standards and ownership objectives.
Essential Functions
Team Leadership
- Manage and lead a property team, including Maintenance Technicians and Property Administrators.
- Ensure internal tasks and projects are completed accurately and on schedule.
- Provide ongoing coaching, guidance, and leadership to support team performance and company objectives.
Property Operations & Maintenance
- Develop and maintain an in-depth understanding of assigned properties, including physical, mechanical, and structural conditions.
- Conduct periodic property inspections and address maintenance needs, deferred maintenance, and tenant lease compliance.
- Respond promptly to property emergencies and concerns, including after-hours issues when required.
- Coordinate with maintenance staff, tenants, and vendors.
- Oversee preventive maintenance programs for roofs, HVAC, fire sprinkler and life safety systems, storm drains, asphalt, and other building/site systems.
- Monitor property-level regulatory compliance, including fire and life safety inspections, stormwater maintenance, energy benchmarking, and building performance reporting.
- Maintain and safeguard property keys and control access to tenant units.
Financial Management
- Prepare annual budgets, CAM estimates, CAM reconciliation adjustments, and periodic property reports.
- Review operating statements, budget variances, and aged receivables monthly and resolve discrepancies.
- Review and approve accounts payable invoices for accuracy and proper general ledger coding.
Tenant Relations & Lease Administration
- Administer tenant and landlord compliance with lease terms and enforce tenant lease defaults in accordance with established procedures.
- Respond to and resolve tenant questions and concerns professionally and promptly.
- Prepare tenant correspondence and property notices.
- Conduct move-in and move-out inspections and ensure accurate tenant setup and account closeout.
- Coordinate vacant-space turnover, including cleaning, repairs, painting, carpet replacement, and utility transfers.
- Track lease expirations, critical dates, pending transactions, and follow-up items.
- Support leasing and renewal efforts by providing property information, tenant history, and space condition details to leasing teams and brokers.
Vendors & Capital Projects
- Contract with vendors for property operations and maintenance, including landscaping, HVAC, parking lot services, storm drain cleaning, electrical, and plumbing.
- Follow appropriate bidding processes, evaluate proposals, and award contracts within established signing authority.
- Manage capital and tenant improvement projects from bidding through closeout.
- Obtain estimates, prepare spending approval documentation, and coordinate contracts.
- Provide project management and general contractor oversight.
- Obtain lien releases, warranty documentation, and certificates of insurance from contractors.
Risk Management & Records
- Track and maintain certificates of insurance for tenants, vendors, and contractors.
- Investigate accidents, property incidents, vandalism, and property damage.
- Prepare and submit incident reports to Risk Management and management.
- Coordinate repairs and vendors as necessary.
- Maintain organized tenant, vendor, and property records.
- Ensure written correspondence is properly documented and retained in electronic files.
Experience, Skills & Qualifications
- 3+ years of commercial property management experience; industrial property experience strongly preferred.
- Experience with property maintenance, vendor management, capital projects, tenant improvements, and lease administration.
- Working knowledge of commercial lease structures, including NNN, modified gross, and gross leases.
- Experience with CAM reconciliation and property-level accounting.
- Strong ability to read, interpret, and apply lease provisions.
- Proficient in Microsoft Office, particularly Excel.
- Experience with property management software; Yardi experience strongly preferred.
- Strong written and verbal communication skills.
- Excellent tenant/customer service skills.
- Highly organized and detail-oriented with the ability to manage multiple priorities and deadlines.
- Dependable, cooperative, and team-oriented.
Education
- Bachelor’s degree in Business, Real Estate, or a related field preferred.
Licenses & Certifications
- Valid driver’s license required.
- CPM or RPA designation preferred.
Travel Requirements
- Regular local travel to assigned properties is required.
- After-hours emergency response may be required.
